How do you keep billing accurate when there’s a change in ownership?
We coordinate directly with realtors and closing attorneys, and complete a current owner title search whenever mail is returned to us. This keeps billing and collections accurate as ownership changes.
Can board members review an owner’s account ledger?
Yes. Board members can view or print any owner’s account ledger in real time through eManageSuite.
Does the ledger distinguish between assessment fees, late fees, and other charges?
Yes. Every charge type โ including late fees, special assessments, and monthly assessments โ is clearly labeled on the ledger and on the monthly statements mailed to owners.
How do owners review their own ledger?
Owners have full access to their account ledger through the Homeowner Website, where they can view a complete history of charges and payments and make E-Payments. They can also contact our Customer Service team directly for an updated copy.
Payments & Fees
Do owners make checks payable to Community Association Management?
No. Owners continue making checks payable to your association โ we simply process payments on the association’s behalf.
How long does it take for payments to reach the association’s bank account?
Processed checks are typically deposited the same day. E-Payments are typically available within 24โ48 hours.
What payment methods does eManageSuite accept?
Owners can pay by check, mail, or online E-Payment using MasterCard, American Express, or Discover.
Are owners charged fees for making payments?
E-check payments carry no additional cost. Credit and debit card E-Payments include a small processing fee, disclosed to the owner at the time of payment.
Board Support & Training
How do board members learn to use eManageSuite?
Every board receives two hours of live, instructor-led training plus a written instructional guide. Your dedicated property coordinator is also available during business hours for ongoing questions.
Who do board members contact with questions about the system?
Your Association Coordinator is available Monday through Friday, 8 a.m. to 5 p.m., to help with anything from invoices to violations to homeowner questions.
Homeowner & Violation Support
How are violations and fines handled through the system?
Boards generate violation letters directly in eManageSuite, which automatically include correction deadlines and the relevant governing document section. Repeat violations can be escalated to a fine, which is charged to the owner’s ledger automatically once approved by the board.
What happens if there’s a repair emergency after hours?
Our after-hours emergency line is staffed by a live operator who assesses the situation and dispatches a pre-selected vendor, notifying your board immediately.
How do homeowners get support for account or violation questions?
Our Customer Service team is available Monday through Friday, 8 a.m. to 6 p.m., by phone. Homeowners can also view balances, letters, and violation photos anytime through their online account.
Association Website
Can our board customize the association website?
Yes. Board members or a designated website administrator can update basic content and the document library. Associations on a custom website can also update menus, styles, and colors.
How do homeowners register for website access?
Homeowners can self-register for the Homeowner Website at any time.
Are there limits on document storage?
No. Use of the online file system is unlimited.
